Privacy Policy
PondHop Ltd
Last updated: June 2026
This privacy policy explains how PondHop Ltd ("we", "us", "our") collects, uses and protects the personal information you provide when you use our website or get in touch with us. We are committed to handling your data responsibly and in line with UK data protection law, including the UK GDPR and the Data Protection Act 2018.
Who we are
PondHop Ltd is a marketing agency registered in England and Wales.
Company number: 16453687
Registered address: 168 Church Road, Hove, England, BN3 2DL
Contact email: admin@pondhopdigital.com
For the purposes of data protection law, PondHop Ltd is the "data controller" responsible for your personal data.
What information we collect
We only collect the information you choose to give us, and a limited amount of technical data when you browse our site. Specifically:
- Contact form: your name, work email address, company name, and the message you send us.
- Impact calculator: your name, work email address, company name, and your role (where provided).
- Website analytics: anonymised or pseudonymised technical data such as pages visited, approximate location, device and browser type, and how you interact with the site, collected through analytics tools (see "Cookies and analytics" below).
We do not knowingly collect any special category (sensitive) personal data, and we do not collect information from anyone we know to be under the age of 18.
How we use your information
We use the information you provide for the following purposes:
- To respond to your enquiry and have a conversation about whether and how we can help.
- To provide the result or resource you requested (for example, the impact calculator output).
- To understand how our website is used so we can improve it.
We will only ever email you in response to your enquiry or to provide the specific resource you asked for. We do not add you to newsletters or marketing sequences without your clear consent.
Our legal basis for processing
Under UK GDPR, we rely on the following legal bases:
- Consent — when you submit a form, you consent to us using your details to respond to you. You can withdraw this consent at any time by contacting us.
- Legitimate interests — to understand and improve how our website performs, and to respond to enquiries relevant to our business. We balance this against your rights and only process what is necessary.
Cookies and analytics
Our website uses analytics tools, including Google Analytics 4 (GA4), to understand how visitors use the site. These tools may set cookies or similar technologies on your device to collect information such as pages viewed, time on site, and general location.
This data is used in aggregate to improve our website and content. You can control or disable cookies through your browser settings, and where required we will ask for your consent before non-essential cookies are set. If we add advertising or conversion-tracking tools (such as Meta or LinkedIn pixels) in future, this policy will be updated to reflect that.
How we store and protect your data
Form submissions are sent to us by email via our form provider (Web3Forms) and are received at our admin inbox. We take reasonable technical and organisational measures to keep your information secure and to prevent unauthorised access.
We do not currently store your enquiry data in a separate customer database or CRM — it remains within our email system unless and until we begin a working relationship with you.
Who we share your data with
We do not sell your personal data. We only share it with third parties that help us operate our website and respond to you, including:
- Our form provider (Web3Forms), which processes and delivers form submissions to us.
- Our analytics provider (Google), which processes website usage data.
- Our email provider, used to receive and respond to your enquiry.
These providers act as data processors on our behalf and are required to protect your data. Some may process data outside the UK; where they do, appropriate safeguards are in place as required by UK data protection law.
How long we keep your data
We keep enquiry information only for as long as necessary to respond to you and, where relevant, to manage any resulting working relationship. If your enquiry does not lead to us working together, we will delete or anonymise your details within a reasonable period. Analytics data is retained in line with our analytics provider's standard retention settings.
Your rights
Under UK data protection law, you have the right to:
- Access the personal data we hold about you.
- Ask us to correct inaccurate or incomplete data.
- Ask us to delete your data (the "right to erasure").
- Object to or restrict how we process your data.
- Withdraw consent at any time, where we rely on consent.
- Request a copy of your data in a portable format.
To exercise any of these rights, email us at admin@pondhopdigital.com. We will respond within one month.
Complaints
If you have a concern about how we handle your data, please contact us first so we can try to resolve it. You also have the right to complain to the UK's data protection regulator, the Information Commissioner's Office (ICO), at ico.org.uk or by calling 0303 123 1113.
Changes to this policy
We may update this privacy policy from time to time. Any changes will be posted on this page with an updated "last updated" date. We encourage you to review it periodically.
